Retail Products

Retail products are front of shop items of different variety which are not typically compounded. Stock management is now available, with product tracking, allowing your business to stay ahead of its requirements. Record each retail product you sell to track sales. Retail products are structured to contain a group of product variants which are products of different quantity/size.

Finding a retail product

  1. Go to the ‘Settings’ page.
  2. Under the ‘Stock’ section click on ‘Retail Products’.
  3. A list of retail products is shown by name together with the brand, stock in hand and the number of variants.
  4. To find your desired product you may either:
    1. Begin typing the name of the product into the search bar.
    2. Click on the sell icon to display a list of tags to apply to the search.
    3. Click on the ‘More Filters’ button near the search bar to apply more filters to the list.
      1. Click on the ‘Tagged With’ drop-down menu and include either products with a specific Tag or without a specific Tag to the search.
      2. Click on the ‘Archival Status’ drop-down menu and tick the ‘Show Archived’ checkbox to show archived consumables.
    4. Click on the ‘Sort By’ button to sort the product list by created date or product name.
  5. The LOW STOCK tag will appear beside the stock on hand count when the product/variant reaches its ‘Minimum Stock on Hand’ threshold.
  6. Once found click on the product to view it.

Adding a retail product

  1. Go to the ‘Settings’ page.
  2. Under the ‘Stock’ section click on ‘Retail Products’.
  3. Under ‘Product details’ input your product name, brand, and preferred supplier.
    • You can also organize your products by:
      1. Selecting a collection for the product by selecting the drop-down menu and selecting all relevant collections.
      2. Adding a tag using the ‘Tags’ drop-down.
  4. Select whether to allow negative stock on hand or not by ticking/unticking the ‘Allow negative stock on hand‘ checkbox.
    • This will allow you to allocate stock even if there is not enough stock.
  5. Under ‘Variant details’ upload your product's image by clicking the ‘add_photo_alternate Add Image’ box or drag and drop your image to the box.
  6. Add pricing details including the price, and Compare-at-Price (RRP) .
  7. Select whether to charge tax on this variant or not by ticking/unticking the ‘Charge tax on this variant‘ checkbox.
  8. Specify the Cost per item to auto-calculate the profit and margin.
  9. Enter the inventory details including the SKU, barcode, initial stock on hand and minimum stock on hand.
    • The ‘Minimum Stock on Hand’ is the minimum number of units that must be available in stock before a low stock alert is given.
    • Adding a variant

    • 1. Click on the ‘+ Add Variant’ tab button and a new variant tab will be added.
    • 2. Input the variant name. The tab header will also display the variant name.
    • 3. Upload the variant's image by clicking the ‘add_photo_alternate Add Image’ box or drag and drop your image to the box.
      • You will also need to supply a variant name for the first variant, as the variant name input field won't display until you add the second variant.
    • 4. Add pricing details including the price, and Compare-at-Price (RRP).
    • 5. Select whether to charge tax on this variant or not by ticking/unticking the ‘Charge tax on this variant‘ checkbox.
    • 6. Specify the Cost per item to auto-calculate the profit and margin.
    • 7. Enter the inventory details including the SKU, barcode and initial stock on hand.
      • If you wish to delete a variant, a ‘Delete’ button will appear below each variant tab.
  10. Click on the ‘Create’ button when finished to create the new product.

Editing a retail product

  1. Go to the ‘Retail Products’ page.
  2. Find the desired retail product and click on the name to begin editing.
  3. Click on the ‘More Actions’ drop-down menu to archive the product if required.
  4. Edit the ‘Product details’ as required including the name, brand, and preferred supplier.
  5. Select a collection for the product by selecting the drop-down menu and selecting all relevant collections.

  6. Under ‘Tags’ current tags can be seen, added, or removed.
    1. Click on the drop-down menu to add a tag that has already been created in the system to the product.
    2. To create a new tag, begin typing the desired tag under ‘Tags’ and press the Enter / Return key to add it.
    3. To remove a tag click on the close near its name.
  7. Select whether to allow negative stock on hand or not by ticking/unticking the ‘Allow negative stock on hand‘ checkbox.
  8. Click on the ‘Save’ button when finished to save changes.

Adding a variant

  1. Go to the ‘Retail Products’ page.
  2. Find the desired retail product and click on the name.
  3. How to add a variant will depend on whether the product is a single variant or a multiple variant product.
    1. For single variant products:
      1. Click on the ‘More Actions‘ drop-down menu then ‘+ Add Variant’ button.
    2. For multiple variant products:
      1. Under ‘Product variants’ click on the ‘Add Variant’ button.
  4. Input the variant name.
  5. Upload the variant's image by clicking the ‘add_photo_alternate Add Image’ box or drag and drop your image to the box.
  6. Add pricing details including the price, Compare-at-Price (RRP).
  7. Select whether to charge tax on this variant or not by ticking/unticking the ‘Charge tax on this variant‘ checkbox.
  8. Specify the Cost per item to auto-calculate the profit and margin.
  9. Enter the inventory details including the SKU, barcode and initial stock on hand.
  10. Click on the ‘Create’ button when finished to create the new variant.

Editing a variant

  1. Go to the ‘Retail Products’ page.
  2. Find the desired retail product and click on the name to begin editing.
  3. Editing a variant will depend on whether the product is a single variant or a multiple variant product.
    1. For single variant products:
      1. You can directly edit the variant's property through the ‘Product details’ page.
    2. For multiple variant products:
      1. Under ‘Product variants’ click on the name of the desired variant you wish to edit.
        • Additionally: You can directly edit the variant quantity by clicking on the edit icon, or rearranged the variant order by dragging the menu icon for each variant.
        • Update variant units as new stock comes in.
  4. Click on the ‘More Actions’ drop-down menu to archive the product/variant if required.
  5. Edit the variant name or image as required.
  6. Edit the variant quantity by clicking on the edit icon.
  7. The usage history of the variant is displayed on this page.
  8. Click ‘Show History’ to view the product history in further detail.
    1. Click ‘Export’ to export as Excel (.xlsx) or CSV (.csv) file.
  9. Edit the ‘Minimum Stock on Hand’ as required.
  10. Click on the ‘Save’ button when finished to save changes.

Dispensing a retail product

  1. Go to the ‘Drafts’ page.
  2. Click on the ‘Create Draft’ button.
  3. Look up the product you wish to add to the order using the ‘Search bar‘.
  4. Click on the product you wish to dispense.
  5. The selected product(s) will now appear on your ‘Draft Script’.
  6. Click on ‘Remove’ beside the product name to remove the product if required.
  7. To select a specific variant, click on the desired variant under the ‘Pricing’ section.
  • By default, the first variant will be selected. The order of the variants in the pricing section will depend on the order under the ‘Product variants’ on the ‘Retail Product Details’ page.

Adding a retail product to an order

Orderspremium Package

  1. Go to the ‘Orders’ page.
  2. Click on the ‘Create Order’ button.
  3. Look up the product you wish to add to the order using the ‘Search bar‘.
  4. Click on the add_circle_outline icon to add a product or a specific variant to the order.
  5. Click outside the modal or click on the close icon to close the modal.
  6. The selected product(s) will now appear on your order.

Purchase Orders

  1. Go to the ‘Purchase Orders’ page.
  2. Click on the ‘Create Purchase Order’ button.
  3. Look up the product you wish to add to the order using the ‘Search bar‘.
  4. Click on the add_circle_outline icon to add a product or a specific variant to the order.
  5. Click outside the modal to close.
  6. The selected product(s) will now appear on your ‘Shopping List’.
  7. Tick the product(s) you wish to make a purchase order for.
  8. Click on the ‘Create Purchase Order’ button.

Stocktaking retail products premium Package

  • If you have stocktaking enabled for your workspace, you can perform a stocktake for your retail products.

  1. Go to the ‘Retail Products’ page.
  2. Click on ‘More Actions‘ then click on ‘Create Stocktake’ button. This will open the ‘Create Stocktake‘ page.
