Retail Products
Retail products are front of shop items of different variety which are not typically compounded. Stock management is now available, with product tracking, allowing your business to stay ahead of its requirements. Record each retail product you sell to track sales. Retail products are structured to contain a group of product variants which are products of different quantity/size.
Finding a retail product
- Go to the âSettingsâ page.
- Under the âStockâ section click on âRetail Productsâ.
- A list of retail products is shown by
name
together with thebrand
,stock in hand
and thenumber of variants
. - To find your desired product you may either:
- Begin typing the name of the product into the search bar.
- Click on the sell icon to display a list of tags to apply to the search.
- Click on the âMore Filtersâ button near the search bar to apply more filters to the list.
- Click on the âTagged Withâ drop-down menu and include either products with a specific Tag or without a specific Tag to the search.
- Click on the âArchival Statusâ drop-down menu and tick the âShow Archivedâ checkbox to show archived consumables.
- Click on the âSort Byâ button to sort the product list by
created date
orproduct name
.
- The LOW STOCK tag will appear beside the stock on hand count when the product/variant reaches its âMinimum Stock on Handâ threshold.
- Once found click on the product to view it.
Adding a retail product
- Go to the âSettingsâ page.
- Under the âStockâ section click on âRetail Productsâ.
- Under âProduct detailsâ input your product
name
,brand
, andpreferred supplier
.- You can also organize your products by:
- Selecting a
collection
for the product by selecting the drop-down menu and selecting all relevant collections. - Adding a
tag
using the âTagsâ drop-down.

- Select whether to allow negative stock on hand or not by ticking/unticking the âAllow negative stock on handâ checkbox.

This will allow you to allocate stock even if there is not enough stock.

- Under âVariant detailsâ upload your product's
image
by clicking the âadd_photo_alternate Add Imageâ box or drag and drop your image to the box. - Add pricing details including the
price
, andCompare-at-Price (RRP)
. - Select whether to charge tax on this variant or not by ticking/unticking the âCharge tax on this variantâ checkbox.
- Specify the
Cost per item
to auto-calculate theprofit
andmargin
. - Enter the inventory details including the
SKU
,barcode
,initial stock on hand
andminimum stock on hand
.-
The âMinimum Stock on Handâ is the minimum number of units that must be available in stock before a low stock alert is given.

Adding a variant
- 1. Click on the â+ Add Variantâ tab button and a new variant tab will be added.
- 2. Input the
variant name
. The tab header will also display the variant name. - 3. Upload the variant's
image
by clicking the âadd_photo_alternate Add Imageâ box or drag and drop your image to the box. -
You will also need to supply a
variant name
for the first variant, as the variant name input field won't display until you add the second variant. - 4. Add pricing details including the
price
, andCompare-at-Price (RRP)
. - 5. Select whether to charge tax on this variant or not by ticking/unticking the âCharge tax on this variantâ checkbox.
- 6. Specify the
Cost per item
to auto-calculate theprofit
andmargin
. - 7. Enter the inventory details including the
SKU
,barcode
andinitial stock on hand
. -
If you wish to delete a variant, a âDeleteâ button will appear below each variant tab.

- Click on the âCreateâ button when finished to create the new product.
Editing a retail product
- Go to the âRetail Productsâ page.
- Find the desired retail product and click on the name to begin editing.
- Click on the âMore Actionsâ drop-down menu to archive the product if required.
- Edit the âProduct detailsâ as required including the
name
,brand
, andpreferred supplier

- Select a
collection
for the product by selecting the drop-down menu and selecting all relevant collections.-

- Under âTagsâ current tags can be seen, added, or removed.
- Click on the drop-down menu to add a tag that has already been created in the system to the product.
- To create a new tag, begin typing the desired tag under âTagsâ and press the
Enter
/Return
key to add it. - To remove a tag click on the close near its name.

- Select whether to allow negative stock on hand or not by ticking/unticking the âAllow negative stock on handâ checkbox.
- Click on the âSaveâ button when finished to save changes.
Adding a variant
- Go to the âRetail Productsâ page.
- Find the desired retail product and click on the name.
- How to add a variant will depend on whether the product is a single variant or a multiple variant product.
- For single variant products:
- Click on the âMore Actionsâ drop-down menu then â+ Add Variantâ button.
- For multiple variant products:
- Under âProduct variantsâ click on the âAdd Variantâ button.
- For single variant products:
- Input the
variant name
. - Upload the variant's
image
by clicking the âadd_photo_alternate Add Imageâ box or drag and drop your image to the box. - Add pricing details including the
price
,Compare-at-Price (RRP)
. - Select whether to charge tax on this variant or not by ticking/unticking the âCharge tax on this variantâ checkbox.

Editing a variant
- Go to the âRetail Productsâ page.
- Find the desired retail product and click on the name to begin editing.
- Editing a variant will depend on whether the product is a single variant or a multiple variant product.
- For single variant products:
- You can directly edit the variant's property through the âProduct detailsâ page.

- For multiple variant products:
- Under âProduct variantsâ click on the name of the desired variant you wish to edit.
- Additionally: You can directly edit the variant quantity by clicking on the edit icon, or rearranged the variant order by dragging the menu icon for each variant.

Update variant units as new stock comes in.
- Under âProduct variantsâ click on the name of the desired variant you wish to edit.
- For single variant products:
- Click on the âMore Actionsâ drop-down menu to archive the product/variant if required.
- Edit the
variant name
orimage
as required. - Edit the variant quantity by clicking on the edit icon.
- The usage history of the variant is displayed on this page.
- Click âShow Historyâ to view the product history in further detail.
- Click âExportâ to export as Excel (.xlsx) or CSV (.csv) file.
- Edit the âMinimum Stock on Handâ as required.
- Click on the âSaveâ button when finished to save changes.
Dispensing a retail product
- Go to the âDraftsâ page.
- Click on the âCreate Draftâ button.
- Look up the product you wish to add to the order using the âSearch barâ.
- Click on the product you wish to dispense.
- The selected product(s) will now appear on your âDraft Scriptâ.
- Click on âRemoveâ beside the product name to remove the product if required.
- To select a specific variant, click on the desired variant under the âPricingâ section.

By default, the first variant will be selected. The order of the variants in the pricing section will depend on the order under the âProduct variantsâ on the âRetail Product Detailsâ page.
Adding a retail product to an order
Orderspremium Package
- Go to the âOrdersâ page.
- Click on the âCreate Orderâ button.
- Look up the product you wish to add to the order using the âSearch barâ.
- Click on the add_circle_outline icon to add a product or a specific variant to the order.
- Click outside the modal or click on the close icon to close the modal.
- The selected product(s) will now appear on your order.

Purchase Orders
- Go to the âPurchase Ordersâ page.
- Click on the âCreate Purchase Orderâ button.
- Look up the product you wish to add to the order using the âSearch barâ.
- Click on the add_circle_outline icon to add a product or a specific variant to the order.
- Click outside the modal to close.
- The selected product(s) will now appear on your âShopping Listâ.
- Tick the product(s) you wish to make a purchase order for.
- Click on the âCreate Purchase Orderâ button.

Stocktaking retail products premium Package
- If you have stocktaking enabled for your workspace, you can perform a stocktake for your retail products.
- Go to the âRetail Productsâ page.
- Click on âMore Actionsâ then click on âCreate Stocktakeâ button. This will open the âCreate Stocktakeâ page.
