Modeus DD book cloud integration

In order to accurately track schedule 8 stock via the Modeus Cloud DD book, Compound Direct will send relevant information to Modeus. This will differ depending on whether the compound is a drug, a compound, or a batched compound.

When dispensing a drug, the stock will be deducted automatically from Compound Direct and the record will be sent immediately to Modeus with the drug, quantity of the drug, the patient, prescriber and directions for use. A stock ID will be sent to uniquely identify the drug in Compound Direct and consistently map the drug within the DD Book.
Deleting the dispense, and editing the quantity will also be immediately reflected within Modeus.

Unlike commercial drugs, compounded drugs include Schedule 8 powders and liquids that are received in and dispensed out in grams and mLs. Because of this, Compound Direct takes a different approach.

When an item is weighed or measured, the exact quantity removed from stock is sent to Modeus at the time of allocation. If an ingredient has multiple batches weighed, each batch will create a separate record in Moedus for that dispense record. Additionally, if a compound has multiple schedule 8 ingredients, each ingredient will create a separate record in Modeus for that dispense record.

Each record will provide the exact quantity of ingredients used from a particular batch so that the stock of each ingredient can be traced back to a very high detail. The note for the record will additionally include the batch number and expiration date of that batch. Please note that the quantities send to Modeus for individually compounded items WILL include wastage.

If an ingredient is unallocated from that dispense record it will also be removed from Moedus.

When compounding batch stock the ingredients will NOT be sent to Modeus as the stock has not yet left the store. It is only when the stock which was created is allocated to a patient that it will be recorded in Modeus.

In this example, 30 troches are given to Paul Ocean. The 30 troches is out of a larger batch of 100 troches that was made prior. As 30 have been given to Paul, Compound Direct will calculate the portion that Paul received out of the prepared stock and record the Schedule 8 components of that stock in Modeus. 0.3 grams of Ketamine powder will be recorded for Paul in this case.

The batch and expiry indicated are that of the stock, not of the raw ingredient.

The record will only appear in Modeus when the stock is allocated.
If multiple batches are given to the patient, each record will show as an independent entry in Moedus

The quantity recorded against the patient WILL include wastage from the process of preparing the batch. This means if the batch had 10% wastage, the quantity supplied to the patient will be 10% more than what may be typcailly expected. The alterative is that there is an ever increasing gap between the stock received and stock supplied that has to be reconciled periodically. The ‘Stock Use’ report export contains the total use and wastage component of an ingredient for a given time period.

Compound groups are an alternate way of compounding items together and are a short-cut way of preparing batch stock based on dispensed scripts.

When preparing a compound group, the records will not appear in Modeus as the stock is weighed out. This is because the stock is still within the store and not officially allocated to any patient.

Once the compound group has been prepared and signed off, the stock will be officially allocated to the assigned patients and the records will show for the individual patients.

If a patient is removed and substories within a compound group, this will also be reflected within Modeus.
The quantity recorded against the patient WILL include wastage from the process of preparing the batch.

To ensure your records show in Modeus, Compound Direct will use indicators on the Formula, ingredients and drugs to decide whether it should be sent to Modeus.
Formulations should be indicated as Schedule 8. Without this, they will not send.
Likewise, drugs should be set up with Schedule 8 as well as their monitored active ingredient.
Lastly, ingredients should have the monotied active ingredient specified so that Compound Direct can determine which allocation records to send to Modeus.

If the script was not correctly marked as Schedule 8 before compounding/dispensing you may resubmit to Moedus using ‘More Actions’ -> ‘Submit Script (Modeus)’
If Modeus is not available Compound Direct will retry a further 19 times to submit the record over the next three days with an exponential backoff.

Compound Direct will not look into the formulas associated with dilutions/trits/distillates to determine an altered quantity of the Schedule 8 ingredient and record that alternate quantity automatically. For example, if you use 1g of a Ketamine 10% trit, it will not record ‘Ketamine 0.1g’ but rather Ketmaine 10% Trit 1g. This is due to sometimes multiple layers of nesting of formulas as well as wastage that may be lost in the process of preparing each triturate/distillate.
