Bulk allocation

Bulk allocation and conditional allocation are a suite of custom tools which can be approved for use on your pharmacies workspace. Speak to our 'Compound Direct' team on how these tools may be able to help your business. Our allocation tools allow you to assign multiple scripts to a batch lot to increase efficiency.

Identical batch manufacturing

  1. Go to the ‘Dispensed’ page.
  2. Click on the ‘New’ tab.
  3. Find your desired compound, click on the more_vert icon at the end of the row and select ‘Show Identical’.
  4. A list of all new dispensed compounds with the identical formulation are shown.
  5. Select each desired item individually to be made as a batch stock or select all items in the list by checking the box at the top of the list.
  6. Click on the ‘Prepare Batch Manufacture’ button.
  7. Select the quantity of batch stock to produce.
    • The system will set the default quantity to the sum of the selected compound quantities. To create extra stock increase the value as required.
  8. Once selected click on the ‘Create Batch Manufacture’ button.

Without conditional allocation turned on

When conditional allocation is not approved, 'Bulk Allocation' is only possible after the batch lot has been signed off and approved for use.

  1. Once the batch manufacture has been created the Preparation page for the batch will appear for an overview of the formulation and the option to 'Start Preparation'.
  2. When ready to begin compounding, click on the Start Preparation' button and complete the preparation.
  3. The pharmacist responsible for the final sign-off can now view and check all data on the batch lot to make a decision to ‘Sign-off’ and authorise the batch lot for use.
  4. Once signed off, click on the 'Approve Batch' button to approve the batch for immediate use.
  5. Once approved' for use the batch lot may be 'Bulk allocated' to multiple compounds.
  6. Go to the ‘Settings’ page.
  7. Click on the ‘Batch Stock’ button.
  8. Find the desired batch stock and click on the name of the batch stock.
  9. Find the desired lot and click on the name of the batch stock lot.
  10. From a batch stock lot, press 'View Allocations'.
  11. Batches can be sorted in this page by 'Quantity' or 'Date Dispensed' by clicking on either header.
  12. Scripts can be added or removed from the batch allocation using the 'Assign'  add_circle_outline and 'Remove' close buttons.
    1. Batch stock cannot be assigned to more scripts once all stock on hand has been allocated.
    2. Excess stock on hand can be allocated to other scripts which have not current allocation.
  13. Select each desired item individually or select all items in the list by checking the box at the top of the list to perform desired actions.
  14. Print a label for your desired scripts by clicking on the ‘Print Labels’ button.
  15. Once the script has been signed off, the batch stock cannot be unassigned. The script will now appear under 'Signed Off' and a check can be seen beside the script in the ‘View Allocations’ page for the stock.

With conditional allocation turned on

When conditional allocation is approved, conditional allocation is possible before the batch lot has been prepared and signed off for use.

  1. Once the batch manufacture has been created the allocations page will appear where a list of allocated and unallocated scripts can be seen.
  2. Batches can be sorted in this page by 'Quantity' or 'Date Dispensed' by clicking on either header.
  3. Scripts can be added or removed from the batch allocation using the 'Assign'  add_circle_outline and 'Remove' close buttons.
    1. Batch stock cannot be assigned to more scripts once all stock on hand has been allocated.
    2. Excess stock on hand can be allocated to other scripts which have not current allocation.
    • Batch stock is only tentatively allocated to the compound until the batch stock has been compounded and signed-off. However, once allocated to a batch stock, individual scripts will behave as if they have an allocated batch when printing labels.
  4. Select each desired item individually or select all items in the list by checking the box at the top of the list to perform desired actions.
  5. Print a label for your desired scripts by clicking on the ‘Print Labels’ button.
  6. Once the batch stock has been compounded and signed off, the stock will automatically be allocated to the script.
  7. Once the script has been signed off, the batch stock cannot be unassigned. The script will now appear under 'Signed Off' and a check can be seen beside the script in the ‘View Allocations’ page for the stock.
