Calibration & maintenance

Maintenance Tasks are recurring tasks that are to be performed by staff on a repeating basis, often recording any notes, documents and data. They are often used to document the continuous risk assessment and safety standards needed to maintain high standards and company policies. Calibrations tasks record the balance calibration event, which can be enforced prior to weighing with a balance. Finding calibration and maintenance tasks

  1. Go to the ā€˜Settings’ page.
  2. Click on the ā€˜Calibration & Maintenance’ button.
  3. A list of calibration tasks are shown under ā€˜Calibration’ and a list of maintenance tasks are shown under ā€˜Maintenance’.
  4. Once found click on the option to view it.

Creating a new calibration task

  1. Go to the ā€˜Settings’ page.
  2. Click on the ā€˜Calibration & Maintenance’ button.
  3. Click on the ā€˜Create Calibration Task’ button.
  4. Add the name and description of the Calibration Task.
  5. Under Calibration settings select the balance from the ā€˜Balance’ drop-down menu of connected balances.
    1. Click on the ā€˜Must be performed before weighing’ check box if required to prevent progress whilst creating a preparation until calibration is performed.
  6. Create a frequency schedule for how often a Calibration Task should be performed:
    1. Selecting a start date by typing or selecting a date in the ā€˜Start On’ field.
    2. Adding the desired time of day for the task in 24-hour time by typing in the hours and minutes.
    3. Selecting how often the task will be repeated under the 'Repeat' drop-down menu.
      • A preview of ā€˜Sample Dates’ are displayed to aid planning for future tasks.
  7. Users creating a preparation will receive a prompt on the preparation page at the selected interval to perform a balance calibration and record the results.
  8. Click on the ā€˜Create’ button when complete.

Creating a new maintenance task

  1. Go to the ā€˜Settings’ page.
  2. Click on the ā€˜Calibration & Maintenance’ button.
  3. Click on the ā€˜Create Maintenance Task’ button.
  4. Add the name and description of the Maintenance Task.
  5. Select a ā€˜Data Type’ from the drop-down menu.
  6. Record the desired Unit of measurement.
  7. Record the desired target range for numerical data types.
  8. Create a frequency schedule for how often a Maintenance Task should be performed:
    1. Selecting a start date by typing or selecting a date in the ā€˜Start On’ field.
    2. Adding the desired time of day for the task in 24-hour time by typing in the hours and minutes.
    3. Selecting how often the task will be repeated under the 'Repeat' drop-down menu.
      • A preview of ā€˜Sample Dates’ are displayed to aid planning for future tasks.
  9. Click on the ā€˜Create’ button when complete.

Viewing and editing a calibration task

  1. Go to the ā€˜Settings’ page.
  2. Click on the ā€˜Calibration & Maintenance’ button.
  3. Click on the desired task name to begin editing.
  4. Edit the name, description and interval as desired.
  5. Record a new unscheduled calibration log by clicking the ā€˜Record a new log’ button and recording the calibration weight on the balance.
    1. Add a comment or upload a file to be attached with the log if desired.
  6. View the last 100 logs under ā€˜Calibration Logs’ which shows any comments or files with the date and author.
  7. Click on the ā€˜More actions’ drop-down menu to Archive the maintenance log if desired.
  8. Click on the ā€˜Save’ button when finished to save changes.
    • Once a new balance calibration log has been recorded, a record will also be shown in the ā€˜Risk Assessment’ section in the Preparation page when formulating a compound. This can be used to record proof of balance calibration as part of routine risk assessment.

Recording and editing a maintenance task

  1. Go to the ā€˜Settings’ page.
  2. Click on the ā€˜Calibration & Maintenance’ button.
  3. Click on the desired task name to begin editing.
  4. Edit the name, description and interval if desired.
  5. Record a new maintenance log by clicking the ā€˜Record a new log’ button and recording appropriate values for maintenance.
    1. Add a comment or upload a file to be attached with the log if desired.
  6. View the last 100 logs under ā€˜Maintenance Logs’ which shows any comments or files with the date and author.
  7. Click on the ā€˜More actions’ drop-down menu to Archive the maintenance log if desired.
  8. Click on the ā€˜Save’ button when finished to save changes.
